How we pick
How we make money: No link on this page earns us anything right now. We may join companies' affiliate programs, and our affiliate disclosure lists any we've joined. If a link on this page ever pays us, it will be marked "(paid link)" and this box will name the companies that pay us. We haven't tested these products hands-on. Prices and features come from each vendor's own pages, checked 2026-10-23 and linked in Sources.
WhichNoteTaker helps you pick an AI note taker or pocket recorder by how your conversations actually happen. Here's exactly how we put each page together, including the parts we can't do.
The short version
- We haven't used these tools hands-on. Not one. So you won't see star ratings, "our testing showed", or accuracy scores from us. If that ever changes for a product, we'll label that section and say what we did.
- Every number has a source and a date. Prices, free limits, plan minutes and privacy features come from each vendor's own pricing page, help center or product page. Each table says the date we checked it, and each page lists its sources.
- We pick by situation, not by "best overall". Video calls, in person, phone, clinic, files. The right tool changes with the situation, so our picks do too.
- Commissions don't decide our picks. Some vendors run referral programs and some don't. We include the tools that fit, whether they pay or not, and each page says which links pay us (right now, none do).
Where the numbers come from
| What we show | Where it comes from | What it is NOT |
|---|---|---|
| Prices and plan names | Vendor pricing page or store listing on the checked date | A quote. Taxes, shipping, currency and promos vary |
| Free plan limits | Vendor pricing page or help center | A guarantee. Free plans change often |
| Capture method (bot, bot-free, device) | Vendor product pages and docs | Proof that it works in your setup |
| Privacy and HIPAA notes | Vendor security and pricing pages | Legal or compliance advice, or an audit by us |
| 2-year cost math | Simple arithmetic on the listed prices | A measured result or a promise of what you'll pay |
| Demand notes (what's popular) | Public search trend tools | A ranking of quality |
When we write "per vendor" or "vendor claim", it means exactly that. We copied it from their page. We didn't check it ourselves.
When we can't verify something, we say "not verified" or "not checked" in the table instead of guessing.
What we compare
For every tool on a page we try to fill the same columns:
- What you get free, and the catch.
- What the cheapest useful paid plan costs, monthly and annual.
- How it captures audio: a bot that joins the call, bot-free capture from your computer, a phone app, or a separate device.
- Whether there's a health data option (a signed BAA), and on which plan.
- Any limits that change the math: minutes per month, history kept, recording length caps.
Then we write decision rules in plain words. For example: "If you record mostly in person, a device or phone app beats a meeting bot."
What we don't do
- We don't accept payment for placement or for a higher spot on a list.
- We don't publish made-up stats, quotes, testimonials or reviews.
- We don't tell anyone a tool is HIPAA compliant for their practice. We tell you what the vendor offers and that you need a signed BAA.
- We don't give legal advice on recording consent. We link primary sources and tell you to check your own state and country.
How we keep it fresh
- We re-check prices on the day a page goes live, and at least every 7 days after that. The "checked" date on each page changes when we do.
- If a vendor changes a price or a free limit and we spot it, we update the table and the date.
- If a product stops being sold (like the Limitless Pendant did), we say so and stop recommending it.
Found a mistake?
Email contact@whichnotetaker.com. We read reports sent there and aim to fix confirmed errors within a few business days, but we can't promise a set time. When we fix something, we add a dated note to the page.
How pages are made
We use AI tools to help gather vendor pages and draft text. A person doesn't read every page before it goes live, so we built each page to be easy to check instead. Prices and facts come from each vendor's own pages, each one shows the date we checked it, and the sources are linked on the page. We re-check pages on a set schedule (see "How we keep it fresh" above). We don't use AI to invent reviews, quotes, ratings or test results.
Who's behind this
WhichNoteTaker is a website operated by Grey 59 Inc., an Oregon corporation. Contact: contact@whichnotetaker.com. No company we cover owns, sponsors or endorses this site. Right now no link on this site earns us anything. If that changes, our affiliate disclosure will list which links pay us.
Changes
- 2026-10-26: "How pages are made" section added. It says plainly that a person doesn't read every page, and that facts come from dated, linked vendor pages that are re-checked on a schedule. Contact email added.
- 2026-10-26: "Found a mistake?" text softened to say we read reports and aim to fix confirmed errors within a few business days, without promising a set time.
- 2026-10-27: "Who's behind this" no longer lists a mailing address.
- 2026-10-27: affiliate disclosure wording updated.
