AI meeting note takers for Zoom, Meet and Teams

How we make money: No link on this page earns us anything right now. We may join companies' affiliate programs, and our affiliate disclosure lists any we've joined. If a link on this page ever pays us, it will be marked "(paid link)" and this box will name the companies that pay us. We haven't tested these products hands-on. Prices and features come from each vendor's own pages, checked 2026-10-23 and linked in Sources.

If most of your talking happens on video calls, you don't need hardware. You need an app that either joins the call as a bot or records from your computer. Before you add one, check whether the meeting app you already pay for does it for free.

We didn't check Microsoft Teams Copilot pricing for this page. If you're on Teams, ask your IT admin what your Microsoft 365 plan already includes before buying anything.

Microsoft says Teams admins can now automatically block identified external bots from joining meetings through Teams meeting policies (Teams admin release notes, September 23, 2026). It's an admin setting, so it depends on the organization hosting the meeting. By default, Microsoft says Teams detects bots and holds them in the lobby until someone admits them. Microsoft also says some bots may not be detected.

Two-year cost per seat

Arithmetic on the annual prices listed above (Granola Business is monthly only), one seat, before tax. Not a measured result.

Fathom Free$0$0
Notta Proabout $8.17 ($97.99/yr)$195.98
Otter Pro$8.33$199.92

Picks by who you are

Solo consultant on Zoom or Meet

Fathom Free first. If you need follow-up emails and action items, compare Fathom Premium ($16) with Fireflies Pro ($10). Fireflies is cheaper per month on annual billing.

Small team that shares notes

Fireflies Pro is $10/seat/mo on annual billing (checked 2026-10-23). Otter Pro and Notta Pro list lower annual prices per user, so compare what each includes for a team (shared notes, admin controls, storage) before you pick. Watch the free plan's storage: 400 minutes in total, not per month, fills up fast. Fireflies' pricing page says that's per team; its help center says it's per seat, pooled across the team.

Sales or customer calls, lots of them

tl;dv records and transcribes free with no meeting cap, which is unusual. But the free AI notes run out after 10 meetings for the life of the account, so plan on Pro ($18/seat/mo annual) if you want summaries on every call.

Google Workspace shop

If your org is on Business Standard or higher, turn on "Take notes for me" (your admin may need to enable it). The meeting organizer needs the eligible edition, and it works in English, French, German, Italian, Japanese, Korean, Portuguese and Spanish per Google.

You transcribe in other languages or upload files too

Notta Pro ($97.99/yr, 1,800 minutes a month) is the cheapest annual plan here. On Notta's free plan, the 3-minute cap per recording makes it work more like a trial for real meetings.

You don't want a bot in the room

Granola (free with 30 days of history) or Bluedot (5 free meetings, then $14). Full rundown in bot-free note takers.

Recording laws: tell people first. Federal law and most states let you record a conversation you're part of. About 11 states, including California, Florida, Illinois, Pennsylvania and Washington, generally require everyone's consent, and a few states mix the rules. Oregon, for example, requires that everyone in an in-person conversation be told it's being recorded, while phone calls need one person's consent (RCFP guide, ORS 165.540). If people are in different states, the stricter law may apply. Rules outside the US differ too, and many employers, schools and clinics have their own policies. A meeting bot showing up in the participant list is a notice, not consent. The same goes for a "this call may be recorded" greeting: it may not tell people that an AI service is transcribing or summarizing the call, so name the AI note taker when you ask. This is general information, not legal advice. If you're unsure, ask a lawyer where you live.
